I. MISSION OF SCRIPPS COLLEGE WEBSITES
External
The Scripps College external website (www.scrippscollege.edu) is a marketing and communications vehicle used to increase awareness of and engagement with Scripps among external audiences (prospective students, their families, donors, and media). The website serves as a powerful resource for these audiences in the following ways:
1. Reputation awareness: Scripps College is an elite, top ranked liberal arts college for women in the nation. The website provides the College’s rankings and achievements, national media coverage, and successes of its faculty, students, and alumnae are shared, to increase awareness and
maintain its reputation.
2. Admission recruitment: prospective students and their families visit the site for engaging and informative information about the College; the site serves as a leading tool for the Office of Admission to recruit each year’s class.
3. Media relations: local, regional, and national media visit the site to access resources about our president, faculty, and events. Content is shared regularly with the media so that they are current on media opportunities.
4. Giving: donors, foundations, corporations visit the site to learn more about Scripps and why they should support the College financially.
Internal
The Scripps College internal site (www.inside.scrippscollege.edu) is a communications vehicle used internally within the College to support the needs of staff, faculty, and current students. Inside Scripps provides:

1. A means for the campus community to share information among themselves that is meant for internal use.
2. A space to share campus news and updates from the College and The Claremont Colleges that is for the campus community, not external audiences.
3. A password-protected environment where sensitive information can reside that will not be accessed by external audiences.
II. APPROPRIATE USAGE
The Office of Marketing and Communications supports official institutional webpages and sites, only, and does not support personal pages or sites.
Official Pages
Official pages, such as those for academic programs, departments, and administrative offices must accurately represent the College, its programs, and policies.
Academic and administrative departments of the College are responsible for developing and maintaining their respective pages. Each department should have a content editor who is directly responsible for maintaining the webpages, and who acts as the primary liaison between the department and the Office of Marketing and Communications, (see “Content Editor Roles and Responsibilities”). Content editors are responsible for ensuring their webpages adhere to the policies and procedures outlined in this document.
Personal Pages
Official College information may not be included on personal webpages. The page creator assumes all responsibility for the content of their personal pages. The College’s IT department is available to Scripps faculty for assistance on the creation of their Scripps-related academic personal sites.
III. WEBSITE STANDARDIZATION
Site Structure
In an effort to create standardization of the entire website, Scripps has adopted the site structure and standardization policies created by the firm KWALL and implemented in fall 2019. The website style guide is available in Marketing and Communication’s Identity Toolkit.
Graphic Standards
Use of College Logo and Seal
No modifications or alterations to the Scripps College seal or logo are allowed. Use of the seal and/or logo is limited by the College. Questions regarding the use
of either the seal or logo should be directed to the Office of Marketing and Communications.
Use of Images and Graphical Elements
All graphic elements should be properly optimized to the lowest possible file size to ensure quick page load times. Additionally, graphics should appropriately
reflect the College. Images and graphics for the external website will be selected by the Office of Marketing and Communications. Copyright policies and laws regarding the use of any web site elements, not only limited to graphics, will be strictly enforced.
Outside Domain Names
The computing and network access, including web access, many not be used for commercial purposes either by members of the on-campus or extended Scripps community. Official College entities may not register domain names separate from www.scrippscollege.edu. Exceptions to this rule only affect unofficial entities of the College, or official entities that have chosen to have services such as shopping cart solutions or secure payment processing hosted on servers not belonging to Scripps College.
IV. OVERSIGHT AND MANAGEMENT
Web Developer Roles and Responsibilities
The web developer in Marketing and Communications is responsible for the oversight and guidance of the Scripps College websites in the goal to be accurate, useful, and engaging reflections of the College, as well as in support of the overall College mission. The web developer plans for, designs, and implements the continuous improvement of the websites. In addition, the web developer serves as a consultant to all College entities. The web developer’s roles and responsibilities can be defined as follows:\

1. Plans for sites’ longterm development and maintenance.
2. Develops technical guidelines to support the sites’ longterm and immediate needs.
3. Designs scalable solutions to support the sites’ longterm and immediate needs.
4. Provides monthly WordPress training and resources to content editors across the College.
5. Consults with the AVP of Marketing and Communications to develop new services or content.
6. Implements new content and services.
7. Ensures that versions of WP and plug-ins are up-to-date and functioning properly.
8. Ensures that College websites are following appropriate accessibility policies and are in accordance with current requirements.
9. Provide oversight, quality control, and ensurance that web policies are respected and enforced for overall websites.
10. Consults with director of IT as necessary.
Content Editors Roles and Responsibilities
Each department and office should have a designated content editor. Content editors are responsible for the ongoing updates and maintenance of that department’s website content. They are responsible for the accuracy and timeliness of their content. The content editor also serves as the primary contact between the department and Marketing and Communications. The content editor’s roles and responsibilities can be defined as follows:\

1. Reviews their website pages’ content for accuracy.
2. Updates existing pages. New pages will be created with approval by
Marketing and Communications. No changes to layout or changes
involving the addition of new modules, video content, or plug-ins will be
done without prior authorization and consultation with Marketing and
Communications.
3. Acts as a communications liaison between Marketing and
Communications and the department.
4. Requests for additional support must be sent through the Website Project
Request form and be approved by the web developer or executive director
of Marketing and Communications.
Content editors may post static and routine content to their webpages at their own discretion, provided all Scripps web procedures and processes are followed.
Copyright Policy
As a community of scholars, Scripps College believes that intellectual property rights should be respected and honored, and that fair and appropriate usage of published material is both a legal and ethical obligation that all members of the Scripps Community should abide by. The College observes the same copyright rules for its servers as it does for its printed material. Copyrighted photographs, text or graphics created by another person may not be placed on a page without the demonstrated permission, including appropriate copyright line, of the photographer or author.
